Who You Are

Oversee day-to-day operations of the Backup Retrieval (BRS) workflow, ensuring the function is harvesting backup from distributor/retailer portals into Vividly, meeting timelines, issues are addressed with timely resolution, and working cross-functionally with reconciliation and dispute pods to ensure data flow and workflow disruptions are minimal. This role will also manage the BRS team and audit the function regularly. It’s imperative to keep the assembly line of the service running smoothly.

Duties and Key Responsibilities

  • Manage a team of deduction associates
  • Oversee team’s harvesting of backup on behalf of our clients, including missing backup requests
  • Develop a robust system to track the timeliness of harvesting along with aging analysis to adhere to our 2-day business turnaround time from check receipt entry in Vividly
  • Coach team on how to navigate various distributor/retailer and logistics portals by gathering appropriate backup
  • Communicate to engineers when technology is not performing to expectations and/or when new tools need to be developed to drive further efficiencies
  • Collaborate with the reconciliation team to ensure a flawless month-end close
  • Maintain manuals by distributor/direct account on intricacies of customer portals
  • Identify areas of improvement and make recommendations to improve the backup retrieval process
  • Assist with hiring when necessary
  • Assist with ad hoc analysis and reporting
  • Accepts responsibility for the organizational goals by taking ownership of new and different duties and identifying new opportunities within the Customer Success - Technology Enabled Services department

What We Look For

  • 5+ years of management experience in Trade Promotion Management
  • 3+ years of experience in deduction processing
  • Works PST, MST, EST time zones
  • Proficiently writes, reads, speaks English
  • Beginner knowledge of SaaS products preferred, including Excel, PowerPoint, G-Suite
  • Experience working in a start-up and comfortable with change
  • Impeccable oral and written communication skills
  • Eager to learn and fosters a desire to serve customers and create win-win partnerships
  • A relentless attitude and the willingness to change processes and methods as we evolve
